Role Introduction

The Contracts Administrator assists with preparation and processing of Architectural & Engineering contracts for internal partners, clients and consultants. Every day you’ll assist with successful management and execution of proposals and contracts, ensuring accuracy, quality, and compliance. To thrive, you must have excellent communication and interpersonal skills to develop positive relationships with Contracts Services Manager, Senior Leadership, Project Teams, Clients and Consultants.

What your day will look like:

  • Assists in preparation, review and administration of contractual agreements relating to projects
  • Facilitate project set up and project number requests
  • Facilitate contract execution; Review assigned contract documents for accuracy and completion, and support through full signature process
  • Work with Project Managers and other internal and/or external customers to ensure contractual issues and other assigned tasks are handled in a timely manner
  • Prepare and manage all client and consultant contracts including, but not limited to amendments, proposals, agreements and project related documents
  • Responsible for drafting from templates, contracts review, formatting, and obtaining manager’s approval
  • Manage and execute all contract requests distributed through contract workflow and MG2 Contract Management System
  • Collaborate and partner with Project Manager, Project Accountant, Project Administrators and other cross functional teams as required
  • Provide Project Managers and Principals with updated status of pending contracts
  • Process pay applications, change orders and invoices utilizing special software if applicable
  • Responds to internal and external correspondence in timely manner
  • Create, maintain and organize contracts and files
  • Assist with project closeout responsibilities and archiving
  • Serves as a liaison between MG2 and clients / consultants, when appropriate
  • Superior interpersonal skills with demonstrated teaming ability to work well with peers, all levels of management, and external resources in a virtual team environment.
  • Works on projects and other matters as necessary
  • Adhoc administrative responsibilities as assigned by manager

We’re looking for someone who:

  • 2 – 4 years of contracts experience in Architecture, Engineering, Construction (AEC) industry including management of contractual documentation, files and processes.
  • Demonstrated knowledge using multiple software applications pertinent to assigned job functions including Microsoft Office Suite, Smartsheet and electronic document handling.
  • Ability to analyze and interpret contractual documents.
  • Strong attention to detail
  • Basic understanding of industry principles, concepts, practices and standards of contracts administration.
  • Ability to provide appropriate and timely communication to stakeholders on task status.
  • Ability to be action-oriented, self-motivated individual who can efficiently manage time, multi-task, and prioritize activities on regular basis.

National Hourly Range: $24.80 – $35.71

If position is eligible for remote status, ranges may be adjusted.
